Hiring VS Buying An Exhibition Stand In The UK

The hire vs buy question is not which option is cheaper on day one, but rather which cost shape fits how often you exhibit, who will store the kit, and how much of the show you want a contractor to run for you.

Hire is strictly a service. You pay for a stand that is designed, delivered, built, and taken away. Buying means owning an asset, for which you’ll pay more up front, before you take on your own storage, transport, any graphics refreshes, and the next install. Both can be the right answer, but mixing them up is how teams either overspend on a one-off show or land a stand they have to live with for three years.

This guide is for UK exhibitors comparing a managed hired stand with owning a custom stand or a modular stand.

What You Are Actually Paying For

Unless you’re building a shell scheme, two invoices sit under every UK show, and they are not the same thing.

The organiser charges you for floor space. That number is set by the show and the hall, not by your stand builder. Hire vs buy only applies to the second invoice. Space is rented either way.

What Hire Usually Includes

A simple island trade show stand.

A proper hire package is meant to be “turn-key”: you should expect it to include the following:

  • A project manager
  • The structure 
  • Drawings and 3D renders
  • Graphics
  • Venue paperwork (such as RAMS)
  • Flooring
  • Lighting
  • Delivery
  • Install
  • Dismantle. 

Furniture, storage, and screens are often optional extras on the same quote.

Use that list as a test. If a hire quote is missing project management, venue paperwork, delivery, or install, you’re likely to run into a misunderstanding somewhere.

Hiring an exhibition stand also means you do not book the freight yourself and you can change the graphics for the next show.

What Buying Actually Includes

Buying looks simple on the first invoice and messy on the second year.

You pay for design and build once. After that, the stand is yours. You then also own:

  • Long term storage between shows (warehouse or unit)
  • Transport to the hall, and a crate that survives a UK load-in
  • A graphics refresh if/when the campaign changes
  • Repairs after any rough breakdowns
  • The labour to install it again, whether that is your team or a contractor you book separately

A custom stand is built for one brief. It can look exactly like the brand, but is also the least forgiving if the next show is a different size or a different story. A modular stand is designed to be reused and reconfigured, making it the ideal hire option. You can also buy a modular display outright, which could be the perfect middle ground.

Buying can still include a full service install for your first event. What you are giving up is simply the option to walk away after the show with nothing in hand.

When Hiring Is The Better Call

Hiring fits teams that exhibit a few times a year, or that are testing a show they may not repeat.

It also fits overseas brands attending their first UK event. You do not want your first week at the NEC or ExCeL to include finding a warehouse in Birmingham and a crew who have never seen your crate!

Hiring is largely unaffected by your stand footprint, so don’t assume that larger displays must always be custom built.

When Buying Is The Better Call

Buying is more logical when the same kit will work, with fresh graphics, across enough shows that you would otherwise pay for hire again and again. In this user case, frequency matters more than a single quote. A stand you use four times a year has different maths behind it compared with a stand you use once and then forget.

Buying is usually the better call when:

  • You already have a UK storage and freight routine, or you are willing to set one up
  • The stand system can change size without a full rebuild
  • Finance/management wants an asset they control fully
  • You exhibit often enough that repeating hire fees would exceed the buy, plus storage, plus refresh costs.

Remember, if you buy a one-off custom stand for a single 3×3 and then try to force it into a 6×3 next year, you’ll run into big difficulties down the line.

The Path Most Companies Actually Take

Some exhibitors take the wise option: hire a stand for the first year and buy the second. 

In year one, focus on learning the show. You learn how much meeting space you really need, whether the open plan worked, and whether the graphics read from the aisle. Then, for year two, you lock a modular or custom kit around what you now know, and you stop paying to reinvent the structure.

Another ownership option is to buy the modular frame and hire labour, furniture, or the screens around it. You’ll still have to handle storage and freight. 

How To Read A Quote

There is no official UK price list for hire or purchase. Any useful quote will be itemised, giving you a single cost at the end while clearly stating who is responsible for delivery, install, and dismantle.

A number that looks far below every other quote usually means something is missing: graphics only, no install, no project management, or no transport.

Questions That Settle The Decision

Before you pick hire or buy, write down answers you can defend in a budget meeting:

  • How many UK shows will we do in the next 24 months, and at which halls?
  • Will the plot size stay roughly the same?
  • Who stores the stand, and what does that cost per month?
  • Who books freight and the install slot?
  • Do we need new graphics every time, or will the same campaign run for a year?
  • Does finance want an operating cost or an asset?
  • What must be in the quote: RAMS, floor, lighting, delivery, install, dismantle?

If you can’t yet name a storage owner and a freight owner, you are probably not ready to buy. Hire until you can.
