UK Exhibition Stand Hire Cost: What’s Behind The Number?

Here’s the truth: there is no official UK price list for exhibition stand hire. Anyone who gives you a single number without a plot, a hall, or a list of inclusions is simply guessing or selling a different product.

That being said, you can still learn about what factors influence the rate you get from a provider. Prepare to explore what moves a stand hire quote and how to read one. This is not an official Booth Exhibits™ rate card, but you’ll find that it’s close enough.

Hired exhibition stands don’t account for hall space. You still need to pay the organiser for the floor, separately. You’ll then need to pay the contractor for the build. A budget-friendly hire stand on an expensive corner plot at ExCeL is still an expensive week!

When someone asks how much exhibition stand hire costs in the UK, ask which invoice they really mean. Most of the time they mean the stand, but keep the hall line visible anyway. The stand cost guide walks through that split and the extras that sit outside any headline figure.

What Actually Moves A Hire Quote

Size is the most dominant influence on your exhibition stand hire cost. It might not seem like it to new exhibitors, but a 3×3 and a 6×6 are not the same job. Height, internal store areas, a meeting room, and open corners all add labour and kit.

Then there’s spec. Soft graphics on a simple back wall cost less than a lockable room, a raised floor, and three screens. Lighting placed “in a few spots” is not the same as a fully-lit ceiling.

Take the hall into consideration, too. Load-in rules, night work, and how far the dock is from the plot all change the labour cost. The NEC and the SEC are not priced the same, for example, even if the 3D looks similar.

Don’t forget about time. A stand booked with comfortable artwork dates is cheaper to run than a reprint 48 hours before build. Late is a premium, not a favour!

Finally, there’s reuse. One show is one mobilisation, while three shows with the same contractor can share drawings and some kit thinking, even with a hired stand. 

Our three top tips are: ask, do not assume it is free, and do not assume it is impossible.

Why Are Online Prices Misleading?

Public hire pricing figures can often be misleading. They may assume a small plot, a stock layout, no furniture, and weekday hours. Or, they might just leave out flooring, RAMS, or install fees altogether…

The solution? Use any figures you see online as a smell test. If a quote is far below everything else you received, something is missing. Ask which of the inclusion lines are actually in the number.

How To Compare Two Hire Quotes

Ignore any totals until the lines match. Compare quotes across these key areas:

  • Design and 3D
  • Structure
  • Graphics
  • Floor
  • Lighting
  • Delivery
  • Install and dismantle
  • RAMS
  • Furniture and AV, if any
  • Storage, if you’re reusing the same display again

A higher total that includes the floor and the night crew can be cheaper than a low total that bills those on the Friday before your event.

Also, remember to compare what you are hiring. A stock kit with new graphics is not the same as a planned layout. Both can be honest, but they should not share a spreadsheet row called “stand”.

Hire Cost VS. Buy Cost

Hired stands look cheaper at their first event outing. Meanwhile, purchased stands can look cheaper on show four if you already store and move the kit. This is a programme question, not a price-per-square-metre question.

If you do not have storage and freight, do not automatically choose purchase over hire. You’ll have to cover these alone if you go the with the former, adding to your total spend down the line.

Hidden Costs That Undermine A “Cheap” Hire Stand

A cost-effective exhibition stand can easily become a pricey nightmare if things aren’t done right: 

  • Artwork that arrives after the print slot. 
  • A screen that was in the 3D render, but not in the quote. 
  • A hanging sign the hall will not allow without a late fee. 
  • A change from vinyl to carpet after drawings were signed off on.

All of these are surprisingly common in our industry. None of them are free!

The best way around this? Build a contingency. Ten to fifteen percent is a common planning habit on exhibition budgets. It is not a rule of nature, but rather how you avoid a row with your finance department on the Thursday before the show starts.

What To Send Your Stand Builder

Want a real figure? Collect the following info first:

  • Show name and venue 
  • Hall number
  • Plot number/code
  • Dates
  • Required add-ons (meeting areas, store areas, a demo zone, etc.)
  • Artwork 
  • Timing (if you know it). 
  • A photo of your previous stand, if you have one.

That’s it! Say “hire” in the first line and ask for an itemised quote, all over at our book a call. We will price the job you actually have. 

A Worked Way To Brief Finance

As for your finance department, send three lines: hall space, stand hire, and contingency. Under stand hire, list the inclusion headings. Then, under contingency, write what it is for: late print, overtime, a screen that was in the 3D, and so on.

If they want a benchmark, say there is no national index and that public “from £” numbers omit hall space and often omit install. You can also offer them two itemised quotes instead of a screenshot from someone’s blog.

If they ask why hiring out a stand is different to the stand you bought two years ago, show them the missing freight lines…

When Is A Hire Quote Priced Right?

Hire quotes should include:

  • The floor.
  • A named person on site. 
  • A reprint allowance or a clear price for one. 
  • Storage fees (if applicable, for multiple shows when reusing a stand)

A lower quote that misses those items will bite you later on the hall floor with a card machine! 

So, How Much Does A Hired Exhibition Stand Cost?
